Workflow Management

The employee workflow tool that runs itself.
8 workflows, zero paper.

Every employee request β€” time corrections, shift changes, time off, overtime sign-off β€” runs through a structured approval workflow. Employees submit from the app; supervisors approve with one tap and everyone gets notified. No email chains. No sticky notes.

Missed punch?
Fixed before payroll runs.

When an employee forgets to clock in or out, they submit a time correction request directly from the web app or mobile app β€” specifying the correct times and a reason. The supervisor reviews and approves with one click. The punch is corrected, audited, and ready for the next payroll run.

  • Employee selects the affected punch (or requests a new one) and enters corrected times
  • Reason field is required β€” creates an automatic paper trail
  • Supervisor receives an email notification with the request detail
  • On approval, the punch is updated and an audit log entry is created automatically
  • Employee receives an email confirmation when the correction is processed
  • All corrections visible to supervisors in the audit log β€” nothing slips through silently

Coverage handled.
Without the group text.

Employees can request a different shift for themselves, propose a direct swap with a colleague, or ask a specific coworker to just take their shift outright β€” all from the app. Supervisors review the request, see everyone involved, and approve or deny. Approved changes update the schedule automatically.

  • Shift change β€” employee requests a different shift or time for a specific date
  • Shift swap β€” two employees propose to trade their assigned shifts for a day; both give something up and get something back
  • Shift coverage β€” employee asks one specific coworker to take their shift; one-directional, nothing traded back
  • Both employees in a swap must confirm before the request goes to the supervisor; a coverage request goes to the chosen coworker first for accept/decline, then to the supervisor
  • Supervisor sees everyone involved before deciding
  • Approved changes update the schedule grid immediately β€” no manual editing
  • Employees are notified by email at every step

Post a shift.
It fills itself.

When you have an uncovered shift, post it as an open shift. Employees see it in the app and volunteer for it. You review the signups and confirm who gets it β€” done. No calls, no group messages, no chasing people down.

  • Supervisor posts the open shift with date, time, and optional notes
  • All eligible employees see it in their "Open Shifts" feed in the app
  • Employees volunteer with one tap β€” multiple signups allowed
  • Supervisor selects one volunteer to confirm; others are notified it's been filled
  • Confirmed employee's schedule updates automatically

OT signed off in advance.
Availability always current.

Two more workflows that eliminate the back-and-forth: overtime pre-authorization lets employees request supervisor sign-off before working extra hours β€” and availability updates let employees communicate schedule constraints directly in the system rather than by text.

  • Overtime pre-auth β€” employee requests approval to work overtime on a specific date, with estimated hours and reason
  • Supervisor approves or denies before the hours are worked β€” not after payroll surprises them
  • Approved OT requests log to the audit trail alongside the eventual punches
  • Availability updates β€” employee submits days/times they're unavailable (for scheduling purposes)
  • Availability is visible to supervisors when building the schedule
  • All 8 workflows share the same inbox β€” supervisors manage everything in one place
